The field of telecommunications is constantly changing. We have changed with the times by providing an ever growing list of methods by which we can deliver messages to you. Whether you prefer to receive your messages by fax, email, pager, or even calling in, we can accommodate you. We can configure our systems to deliver messages to you at set times each day, several times each day, or even immediately after the message is taken, just let us know what you want!

We can also help you set up emergency dispatch instructions. If there are certain calls that you want to receive right away while others can wait, contact our Client Services department. They can help you set up an effective set of instructions so your messages get delivered the way you want.

Voicemail  

Using voicemail is a very efficient way to retrieve messages. The service is called echocheck, and with it, a live telephone service representative answers your calls and takes you messages. However, at the end of the call, they read all your messages into a special voicemail box which you can check at your convenience. Echocheck combines the best of both worlds: personalized attention to your callers by one of our trained telephone service representatives, and convenient, low-cost, no wait message retrieval from voicemail.

Fax Machine

Message delivery directly to your fax machine is one of our most popular options. Let us know what time during the day you would like to receive your messages and we will have our system deliver them to you automatically. With our fax delivery service, you can have a printout of your evening messages waiting for you when you arrive in your office. We can even deliver your messages to multiple fax machines.

If you have emergency messages delivered to you or your on call staff after hours, we can have copies of delivered emergency messages faxed as well as your non-emergency messages. We can also show any dialouts made or changes in your special instructions on your daily fax.

Email

Email delivery is quickly becoming a favorite message delivery choice. We can deliver messages directly to your email inbox as we take them or batch them into a single email delivered at whatever time you desire. We can also deliver your messages to multiple email addresses, or even a combination of email addresses and fax machines. Like our fax delivery service, email delivery can also include delivered emergency calls, dialouts, and special instruction changes.

With our scripted message service, we can also send confirmation emails to your callers. This service is most appropriate for order entry, reservations, or any application where you would like to send an automatic message back to your caller. This email can contain a customized message and additional information for your caller, such as an order confirmation number for order entry or driving directions for seminar registration.

Pagers, Cell Phones, & PDAs

If you carry a pager or cell phone, let us know what type of calls you consider important... we can notify you immediately when those calls arrive. Alphanumeric pagers and email- or pager-equipped cell phones (or PDAs) are even better... we can send you the entire message.

Patching

For those calls you just cannot miss, we have the ability to connect your caller directly to you. The service is called patching and allows us to call you on whatever number (office extension, cell phone, etc) that you tell us you can be reached at, and connect our caller to you. This can be effectively used to provide a "remote receptionist" service. Please contact our Sales department if you plan to use patching extensively. There are additional line usage charges and we may be able to suggest a more efficient rate structure to suit your needs.

Printout

Good for archival purposes and review, hard copies of all your messages can be mailed to you on a weekly or monthly basis. This service can be used to supplement your daily message delivery.

Data Files

With our scripted message service, we can provide the results of your calls in a variety of formats. If you need to import the results of orders or surveys into your system, we can provide a data file tailored to your specifications. Common formats that we provide include comma-delimited files, fixed-width files, dBase III, Excel spreadsheets, and MOM (Mail Order Manager). We can also create customized data export files.

These files can be delivered as email attachments or retrieved by logging into our FTP site.

Custom Reports

Another service we provide with our scripted message service is the ability to create customized reports based on your data. These can be as simple as daily messages grouped by category, or monthly analysis of product sales by state or advertising source. If your account is scripted to capture the proper information, we can provide you with practically any demographic report you desire.

Tips
  • Remember, we can set up messages to deliver to multiple sources. If you want your messages delivered by fax but want a copy by email as well, we can do it!
  • Messages which have been picked up by checking in or by being delivered to voicemail can also be delivered by other means! We can deliver copies of these messages by fax or email along with any calls or pages we made to deliver the call. This can be an important asset when tracking the effectiveness of your after hours staff.
  • If you have several offices or staff with separate accounts, we can consolidate all their messages into one delivery or send the calls on each account to a separate location. In addition, we can combine these options so each person receives their own messages the way they like (fax, email, etc) and send a second copy of all messages to a main location (such as an office receptionist).
  • Develop a message delivery plan that fits your business. Our Client Services department can help you set up instructions for our representatives to ensure that your important messages get through to you as soon as possible and routine messages are delivered on a schedule that is convenient for you.
